The WordPress Site Maintenance Checklist for Agencies

A complete WordPress maintenance checklist organized by frequency — daily, weekly, monthly, quarterly and annually — that scales from one site to hundreds and turns into a care-plan deliverable.

A maintenance checklist is what separates a professional WordPress care plan from "we'll get to it." It makes the work repeatable, lets you delegate it, and gives clients something concrete they're paying for. Here's a complete WordPress site maintenance checklist for agencies — organized by how often each task should run — that scales from one site to hundreds.

    Daily (automated)

These run automatically and only need your attention when something fires:

    • Uptime checks. Monitor every site on a short interval with instant alerts on downtime.
    • Security monitoring. Watch for malware, file-integrity changes and failed-login spikes.
    • Backup verification. Confirm scheduled backups completed; alert on failure.

The point of the daily tier is that you do nothing unless an alert tells you to. If you're manually checking sites every day, something is misconfigured.

    Weekly

    • Apply updates. Review the pending-update list, patch security releases, take pre-update backups, apply in bulk, spot-check high-value sites. (See how to do this safely.)
    • Review security scans. Address any flagged vulnerabilities.
    • Check uptime reports. Look for sites with recurring short outages — a sign of a deeper hosting or plugin issue.
    • Clear spam. Empty spam comments and trash.

    Monthly

    • Database optimization. Run database cleanup — revisions, transients, orphaned metadata — across all sites.
    • Performance review. Check Core Web Vitals and page-load metrics; investigate regressions.
    • Caching health. Confirm page and object caching are working as expected.
    • Broken-link scan. Find and fix 404s and broken internal links.
    • Plugin/theme audit. Remove deactivated plugins and unused themes — they're dead weight and a security surface.
    • Client reports. Send each client a summary of the work done. This is what makes a care plan feel valuable.

    Quarterly

    • Restore test. Actually restore a backup to a staging environment. A backup you've never restored is a hope, not a backup.
    • PHP and dependency review. Check whether sites can move to a newer, supported PHP version.
    • Access audit. Review user accounts and remove stale admin access — especially contractor access that should have expired.
    • SEO health check. Confirm sitemaps, indexing and structured data are intact.
    • Plugin licensing. Verify premium plugin licenses are active and renewing.

    Annually

    • Full security review. Audit hardening: admin usernames, 2FA, file permissions, security headers.
    • Hosting review. Are clients on the right plan? Any sites that have outgrown their hosting?
    • Care plan review. Reassess pricing and scope against the work actually being done. (See care plan pricing.)

    Making the checklist scale

Running this manually per site collapses the moment you have more than a handful of clients. The trick is that most of the checklist is either automated (the daily tier) or a bulk action (updates, database optimization, reports). A management platform turns "log into 80 sites" into "review one dashboard."

On WP MegaManager, the daily tier runs itself, the weekly and monthly tiers are bulk operations across your whole portfolio, and AI task automation can handle conditional chores so you only touch what needs judgment. That's how one person reliably maintains a hundred sites.

Turn the checklist into a deliverable

Don't keep this checklist to yourself — turn it into your care-plan scope. Clients pay for outcomes they can see, and a clear checklist (plus the monthly report proving it ran) is exactly that. Start managing your sites in one place and the checklist becomes a routine instead of a scramble.
